Save the Children vacancy: Grants & Sub Grants Manager - 1 post in Jakarta

Save the Children is a leading, private child-focused non-governmental alliance of 29 member organizations that works in 120 countries throughout the world. Save the Children has worked in Indonesia since 1976 to promote health and nutrition, education, child protection, livelihoods, and emergency preparedness and response. Save the Children has grown enormously in the country and today we operate in 13 provinces across Indonesia. Our program in Indonesia has made significant progress at the national policy level and in the Bandung, West Java metropolitan area in facilitating family-based care for neglected and vulnerable children. Currently Save the Children immediately need for experienced staff to be part of our project implementation team and will be based in Jakarta.

The position we are looking for is:

Grants & Sub Grants Manager (code: GSG – Jkt) – 1 post, based in Jakarta


The post holder is directly report to Program Director – S/he is will take primary responsibility for management of Indonesia program grants, sub grants and sub contracts, focusing on Indonesia country office and donor compliance and accountability, serving as link between financial and program staff and Home Office (HO). This position will also be responsible to strengthen overall grantee and sub grantee capacity in the area of grant and financial management across the country office.

Job Responsibilities:

1. Indonesia program grant and sub grant database, sharing information with HO and Sr. management as required.

2. Review all grants and sub grants pre award assessment results, working with coordinators in all sub offices to determine action plan for each grantee and sub grantee.

3. support coordinators in conducting initial financial/administration & compliance training to new grants/sub grants/sub contractors, staffs.

4. Review all cost market price analyses for fixed price sub contractors in all sub offices.

5. Work closely with Operations Director, HO regarding grantee and sub grantees & sub contract issues. Attend the meeting regarding grants, sub grants / sub contract with donor / partners.

6. Provide training and capacity building to country office coordinators on SC Grants and sub Grants policies, providing technical assistance as required. Responsible for overall grants and sub grants/contracts compliance in accordance with Indonesia country office, HO and donor requirements, ensuring standard practices are followed.

7. Conduct review on all sub grant proposals and agreements prior to submission to HO. Responsible for negotiating any agreement changes with the partner and HO.

8. Facilitates internal audits in collaboration with the internal auditor and provide assistance in external audits.

9. Close coordination with Finance and budget team to review financial pipelines for grants as needed.

10. Work closely with Finance & Budget team to review status of all grants on monthly basis, identifying needs for NCEs, budget revisions, amendments, etc.

11. Develop and maintain grants master sheet.

12. Prepare periodic grants report/status to SMT.

13. Prepare grants reports to donor.

14. Prepare and issue BVA to all program managers.

Requirements:
Education: Bachelor degree in relevant fields, preferably master degree. Other professional qualification is an advantage.

Skill and Experiences:

· Minimum of 5 years of experience working in International NGO and managing sub-grant activities with at least 3 years experience in management level of Grants and donor also budget proposal in an international organization or INGO.
· Very good knowledge of Federal & Non federal donors regulations (22CFR226,A-122,A-133,Standard Provision, ADS, etc).
· Expert in sub grant, sub contract, partnership process, procedures agreement, etc.
· Ability to set up accounting system in small-medium scale organization.
· Very good in accounting recording system.
· Very good in audit field work.
· Very good in capacity building and training.
· Ability to work with tight schedule as team player and good planner.
· Firm and able to make critical decision.
· Concern for detail with analytical thinking.
· Integrity, organisation commitment.
· Information seeking.
· Good in English oral and written, good in Excel, Word, and Power Point.

· Excellent self-motivation and initiative to establish working relationships across diverse projects.

· Ability to effectively manage competing priorities.
