Vacancy : Temporary Secretary

The Partnership for Governance Reform in Indonesia is a multi-stakeholder association dedicated to support Indonesian initiatives aiming at supporting governance reform agenda. The Partnership works closely with national and international community to initiate, advocate, and promote sustainable governance reform in Indonesia.

The Partnership brings together the Indonesian Government, Legislature, Judiciary, Civil Society, and the Corporate Sector with the support of the International Community in initiating a long-term process to improve governance in Indonesia in a durable way which expresses Indonesian ownership.

Currently we have immediate vacancies for high caliber Indonesians with high integrity to fill the following position :

Temporary Secretary for INSPIRE

Summary of key functions :   
To perform a range of basic office support such as :

1. Maintaining a high level of confidentiality
2. Preparing reports, letters and minutes of meetings
3. Providing admin and project support
4. Maintaining diary management
5. Organizing meetings
6. Dealing with guests and visitors
7. Personally deal with telephone enquiries and personal callers
8. Recording and monitoring enquiries and subsequent actions
9. Develop and manage the storage, archive, and document security systems
10. Handling correspondences and documents
11. Distributing, and archiving of incoming letters and documents either by mail, facsimile and an email.
12. Manage the delivery of letters either by e-mail or facsimile, and confirm the letter, e-mail, or sent by facsimile, as well as archive copies of outgoing mail
13. Create Inspire minutes of meetings and filing of minutes and related documents.
14. Assist the team leader and consultants for document archiving and providing necessary documents for meeting.
15. Take care of accommodation, tickets, visas and the necessary facilities for staff and guest in relation to official duties
16. Set up communication, recording and ensuring the work agenda, and the appointment of team leader and consultants.

Recruitment Qualifications   
Education : Minimum Diploma III (three) in administration, or other relevant fields.

Experience : 3 (three) years working experiences in similar Job

Language Requirements : Fluency in Bahasa Indonesia and English.

Others:
Team player, able to work respectfully and cooperatively with colleagues of different nationalities and cultural backgrounds. Ability to work under pressure, using own initiative. Willingness to accept change and new challenges. Highly confidential. Excellent IT skills. Flexible. Shorthand would be an advantage. Pro-active and outgoing with good communication and organizational skills. Team Work oriented
