Currently we are searching for a qualified candidate to fill the position of:
EXECUTIVE SUPPORT AND COORDINATOR
The
Executive Support and Coordinator for the Indonesia Program performs a
variety of high level administrative tasks, which may include budget
preparation, travel arrangements and meeting logistics, scheduling,
reporting and tracking information for the Country Director. S/he
provides
direct support to an executive and also supports other
Indonesian Leadership Team (ILT) members. S/he assists in the design
and implementation of large scale projects, ensuring that programmatic
commitments, timelines and compliance standards are communicated and
met. S/he creates, oversees and works to consistently improve
communications to all members within the department or region’s scope
and beyond. This position includes frequent interaction with all members
within the organization including senior managers, staff, trustees,
Board of Directors and donors, as well as customers, vendors and
business relations. S/he may provide operational support to the
executive, such as creating/submitting monthly reports and developing
operational guidelines to ensure efficient management of the program and
compliance with regulations. S/he makes interpretations and
recommendations as appropriate. Duties are highly confidential and
require comprehensive knowledge of TNC’s policies, procedures and
operations. Responsibilities require discretion, judgment, tact and
poise. Incumbent has considerable latitude and flexibility in carrying
out assigned tasks.
The Executive Support and Coordinator for
the Indonesia Program serves as the primary contact for the Country
Director in the coordination of the Indonesia Leadership Team (including
but not limited to ILT Charter, meeting arrangement, agenda, preparing
minutes, and other follow ups as necessary). In her/his role as the
Alignment Coordinator, s/he helps to ensure that each division within
the Indonesia Program is aligned with the Global Challenges and Global
Solutions and that there is alignment among divisions’ key initiatives
by:
1. Developing and monitoring the alignment processes
2. Creating the dashboard and monitoring the status of key initiatives’ achievement;
3. Reporting the status of key initiatives’ achievement to ILT and continuous updating of the dashboard
This position also manages market research and marketing intelligence which includes:
1.
Manage and coordinate all market research requirements
(investigating market activity, analyzing published data and statistics,
assessing future trends)
2. Gather and evaluate relevant market and competitor information to review market position and determine threats
3. Collate and report relevant internal and external information.
The
Executive Support and Coordinator for the Indonesia Program reports to
the Country Director and must cultivate cooperative working partnerships
with the Indonesia Program Leadership Team members and other staff, TNC
Indonesia Advisory Board, volunteers, citizens, corporations,
educational institutions, government and private agencies and other
conservation partners. This position is based in Jakarta.
Basic Qualifications:
• Bachelor’s degree plus at least 8 years related work experience, or equivalent combination of education and experience
· Experience with MS Office, including database management and use of the Internet
· Experience in research and statistical analysis
· Experience managing diverse activities and coordinating the schedule and contacts of top-level executive(s)
·
Experience coordinating multiple large scale projects, setting
realistic deadlines, managing a timeline or related activities
·
Experience working with a wide range of people, such as board of
directors, donors, volunteers, the public and/or all levels of staff
· Excellent verbal and written skills in English
Requirements:
·
Requires database management with ability to produce reports and
ability to use advanced functions, including sophisticated knowledge of
the Internet.
· Proven organizational and administrative skills and attention to detail.
· Ability to organize time, manage diverse activities and meet critical deadlines.
·
Ability to take on additional tasks when required and to
delegate as needed to others within the department, region or group.
· Must have comprehensive knowledge of TNC policies and procedures.
· Strong knowledge of statistics and computers
· An ability to handle data in quantitative research
· Methodical and well organized
· Good numerical, analytical and problem-solving skills
