World Food Programme, Indonesia invites applications from the eligible
candidates for the following position:


Position :Finance Admin Assistant
Contract Type :Service Contract
Duration :3 months with possibility for extension
Duty Station :Jayapura, Indonesia

Accountabilities:
Under the direct supervision of the Head of Sub Office, the subscriber is
responsible for a variety of Finance, Accounting, and Administrative
function of the Finance, Administrative Unit. The Subscriber particularly
performs the following duties:

Prepare bank reconciliation, liaise with banks, maintain and
conduct analysis of general ledger accounts;

Respond to accounting, budget or financial queries regarding data
from staff in the unit and elsewhere in the Program;

Maintain and record Petty Cash Account, Travel Advance, and
Operational Advance. Prepare relevant reports and monitor the incurred
expense to be in line with financial rules and regulations. Ensure
sufficient replenishments for planned operations;

Prepare and distribute invoices of personal usage of telephone,
fax, mobile phone, and follow-up for collection;

Maintain proper control over various financial records such as
commitments and expenditures against budgeted amounts;

Confirm the availability of funds prior to review by supervisor
and also prepare necessary receipt and journal vouchers;

Assist in the preparation of budget, accounting, financial
reports, statistical reports and other reports as required;

Initiate administrative actions related to the following: general
financial information, and travel payments, and procurement transactions;

Solicitation and analysis of quotations in accordance with
administrative rules and regulations, recommend award of purchases and
prepare purchase orders;

Review purchase requisitions for compliance with procedures,
specifications etc;

Verify vendor claims for accuracy and conformance with WFP finance
rules and regulations; perform claim verifications against documentation
to ensure that purchases/services are properly authorized and that the
goods have been received or services rendered; and ensure timely recording
and processing of vendor invoices in the Programme’s information system;

Monitor vendor advances and other receivables and ensure timely
clearance of vendor outstanding items, taking corrective follow up actions
where required;

Maintain inventory records, perform physical counts, and propose
most cost efficiency methods for SO inventories;

Assist in the preparation of the payroll by executing validity
checks on monthly payroll results;

Supervise the drivers and the vehicle maintenance;

Liaise with the Office maintenance to ensure that the office is
clean and operational

Act as focal point for issues related to Finance, Administration
and IT with guidance from each unit;

Extract and input data from various sources in financial,
accounting and administrative system;

Assist in the maintenance of systems and equipment by carrying out
routine tasks, such as backing up data, monitoring network and systems,
peripherals, running systems diagnostics and system optimization, removing
viruses and bad data, etc.
Maintain inventory of equipment and materials, such as computer
related equipment, communications equipment, software, training material,
etc.
Perform other related duties as required.


Qualifications and Experiences:
Education: Secondary school education including or supplemented by courses
related to the area of work.
Experience: At least four years of progressively responsible clerical work
especially in general administrative work including at least two years in
the field of finance, accounting, audit, administrative services or other
related field.
Knowledge: Experience in utilizing computer, including work processing,
spreadsheet and other WFP standard software packages and systems. General
knowledge of UN system financial policies, rules, regulations and
procedures. Additional ICT knowledge would be an asset.
Language: Very good knowledge of Bahasa Indonesia and English.
