ChildFund Indonesia is currently seeking:
Position : Admin Assistant (Position Code: AA)
Reporting to : Country HR & Operations Manager
Based in : Jakarta
Functional Summary
Provides administrative support within the office to ensure the smooth implementation of programs for ChildFund Indonesia.
Key Responsibilities
Administration
Design, establish and maintain a central filing system for the
administration and ensure quick retrieval of files when
neededResponsible of maintaining the office supplies inventory and
distribution, including the purchaseMaintain hygiene and kitchen
supplies (sundries) inventory and distribution, including the
purchase.Be responsible to arrange incoming and outgoing letters.Be
responsible for fax incoming and outgoingLiaise with finance to ensure
that all bills related office (i.e electricity, phones, water,
newspaper) are paid on a timely basis.
Travel & Logistics
Responsible for travel arrangement for all staff members following
ChildFund Procedure and Policy, and ensure the payments are paid on
time.Responsible for accommodation arrangement for staff or visitors
including preparation of welcome package.Working together with Program
Support Officer (HR & Ops) in making arrangement for airport
transfer/car arrangement of staff and visitors.Managing the meeting room
in National Office, ensuring sufficient meeting stationeries are
available (flip chart and papers, board markers/markers, etc).Assist in
providing logistical support for meetings (reserving meals and snack).
Inventory
Provide support to PSO (IT & Logistics) to ensure that inventory
labels are maintained on all ChildFund equipment, maintain database of
all assests and inventory, both for NO and Zonal offices,Provide support
to PSO (IT & Logistics) in conducting inventory check per
requirements of ChildFund.
Receiving & Distribution
Receiving goods following purchases, and ensuring the receiving complies
with the Purchasing Manual of ChildFund (eg. PO, Delivery Order,
etc).Issuing a Receiving Report following a delivery by vendors.Provide
support to Program Support (IT & Logistics) in distributing goods
following requests from Country Manager HR & Ops to zonal
offices/partners, and ensuring the distribution complies with ChildFund
prevailing policy (Delivery Note, etc).
Petty Cash
Handle monthly petty cash and liaise with finance for liquidation.Other Support
Assist other departments as requested by the Country Manager HR & Ops
Qualifications and experience
Min 5-year in related sector.Computer proficiency in general office
software applications (i.e. Word, Excel, Outlook)Proficiency in
EnglishAbility to plan and organize his/her work independently,Proven
level of integrity and modestySolid interpersonal and communication
skills.Possesses an attitude of service and support.Mature disposition
in appropriately managing sensitive situations; ability to modulate
emotions professionally at all times.Secretarial school; university
degree will be an advantage value.
