Administration Assistant for MAMPU Program (REVISED)

The Empowering Indonesian Women for Poverty Reduction or Maju Perempuan Indonesia untuk Penanggulangan Kemiskinan (MAMPU) is funded by the Government
of Australia through the Australian Agency for International Development
(AusAID) and managed by Cowater International Inc. The MAMPU Program purpose is to build broad-based networks and inclusive coalitions led by strengthened women’s and gender-interested organisations, and parliamentarians in order to influence government policies, regulations and services, and in selected private sector arenas, to improve the access of poor women to critical services. MAMPU Program is currently seeking the following position :

Position : Administrative Assistant

Location : Jakarta, MAMPU Office


Report to : Operations Manager

Overall responsibilities :

Reporting to the Operations Manager (OP), the Administrative Assistant (AA) is responsible to provide various form of administrative and logistic assistance to the MAMPU Program and coordinate support services required by MAMPU Technical Advisors, Analytics Research Unit (ARU) and short-term consultants. The AA will insure that office systems and logistic support function in an efficient, effective and dependentable fashion and in accordance with the procedures and guidelines laid out in the MAMPU Operations Manual.

Specific responsibilities :

* Assist, establishing and maintaining efficient administrative system including filing, inventory and other related matters

* Assist and identify what furniture and office equipment is required and purchase within the budget (may require several quotes before purchasing, refer to AusAID Procument Guidelines)

* Coordinate with the OP to insure application of program procedures and guidelines for administrative and logistic, procurement and financial matters

* Maintain good working relations with MAMPU team, partners and suppliers,

* Provide administrative support and logistic support (reports, letters, transportation, ticket and hotel reservations) to program advisors and short term consultants

* Ensure the proper maintenance of equipment, in particular computers, security plan guidelines of the MAMPU Office

* Assist, under the guidelines of the MAMPU Operations Manual in procurement/purchasing of goods and equipment

* Provide necessary assistance for administrative and logictic accordingly (work sessions, seminars, short courses, coaching, etc. ) according to the needs requested

* Provide assistance in the preparation of MAMPU’s Partners activities in Indonesia and outside of Indonesia such as exposures visits, courses, exchanges, etc.

* Manage petty cash and assist the Operations Manager in preparing various forms for purchases and procurement in close consultation with the Financial Accounting

* Assist in managing and coordinating general maintenance of the MAMPU office premise including office space

* Coordinate the use of the program vehicule if vehicule is rented

* Deliver other assigned accurately and on a timely basis

Qualifications :

- University Degree in Administration or Technical Degree in relevant education

- At least 3-5 years of experience in equivalent administrative
position. 



- Must have the ability to work effectively in a fast-paced,
stressful environment.

- Must be flexible, willing to perform other duties and work
irregular hours.

- Able to communicate fluently and effectively in Indonesian and English.

- Excellent interpersonal skills, including patience, diplomacy,
willingness to listen and respect for colleagues.

- Must be capable of working both individually and as part of a team.


- Must also be able to create a supportive working relationship among
all MAMPU Partners.
