Conservation International, an international non-governmental
organization, is seeking applicants for the following position to be
based in Jakarta:
GRANTS SUPPORT COORDINATOR
CI-Indonesia is seeking a Grants Support Coordinator to assist the
Operations Director and coordinate the grant and contract making
functions of all programs within CI-Indonesia in full compliance with CI
and donor requirements. This position will coordinate all of aspect of
grants
making and management from the planning and applications phases
through contracting, reporting, monitoring, amendment and close-out of
grants. Specifically this position is responsible for maintaining the
accuracy of the information in CI's grants database (GEM), reviewing
grantee reports, troubleshooting, reporting problems, processing
disbursement requests and coordinating with Program Managers, CI head
office staff (GPM and EFD's Carbon Fund and GMU) and Program staff on
financial and grant management operational issues.
This position will report directly to the Operations Director and work
closely with the Finance Managers and other Program Director/Manager in
CI Indonesia in managing daily communication flows with grantees
/consultants and the CI Grant Resources Management team.
Responsibilities:
1.Coordinate all grant and contract making. This role includes:
pre-project planning and communication with Program Director/Manager for
grantees and consultants to maintain the continuity of information
during project design phase; support the contracting process, soliciting
bids, drafting and negotiating contracts and maintaining records;
correspond directly with applicants regarding eligibility requirements,
follow up on delayed submissions, process and track risk assessments,
agreement preparation, legal review coordination, procuring signatures,
wire transfer requests, and ensure accurate and timely entry of grant
information into GEM.
2.Provide support to grantees and consultants to maintain compliance
with all terms of grant and contract agreements. This role includes:
training on grants and contracts processes and systems, report
trouble-shooting, financial report review, payment processing,
grant/contract amendments and timely project close-out.
3.Support the review and monitoring. Assist grantees and consultants in
tracking progress of project outputs, including "offline" reporting as
specified in donor agreements. It also includes assisting in performing
regular site visits for financial and accounting monitoring of active
grants/contracts, together with logistics for donor site visits in the
region.
4.Work with the Operations Director in managing communication flows with
grantees and consultants. This roles includes providing general support
to the Grants Resources team and along with internal and external
partners as needed;
5.Support Grant Management systems and donors compliance by implement
and manage CI process for grant/contract management, grants/contracts
close out and sub-grant management.
Qualifications:
University Degree in Accounting and/or Commerce
Great attention to details and strong organizational skills
Strong oral and written communication skills in Bahasa and English, able to work effectively in either language;
Strong computer skills including MS Office, Database, and file management
At least 3 years' experience in grant management or financial administration services
Previous experience working in an international organization or donor agency
Previous experience with multi donors funding
Strong interpersonal skills, a helpful and personable attitude, and evident desire to assist partners
Ability to build good inter-personal relationships with other staff is
necessary, as the Grants Support Coordinator must team up with other
Jakarta office staff and CI staff globally
