Save the Children is a leading, private child-focused non-governmental
alliance of 29 member organizations that works in 120 countries
throughout the world. Save the Children has worked in Indonesia since
1976 to promote health and nutrition, education, child protection,
livelihoods, and emergency preparedness and response. Save the Children
has grown enormously in the country and today we operate in 13 provinces
across Indonesia. Our program in Indonesia has made significant
progress at the national policy level. Currently Save the Children
immediately need for experienced staff to be part of our support team
and will be based in Jakarta.
The position we are looking for is:
Receptionist/Admin Assistant (code: RA Jkt) – 1 post, based in Jakarta
The post holder will be report to Travel & Visa Officer. She will
responsible to support the front office function and administrative
services.
Job Responsibilities:
· Core Responsibilities & Duties
1. Keep the reception area in neat and representative condition.
2. Greet visitors and direct them to designated staff.
3. Take incoming calls and forward them to specific extension.
4. Assist Jakarta staff in ordering taxi, record taxi voucher circulation and compile document for payment.
5. Record and distribute incoming letters.
6. Record outgoing letters/packages and coordinate with courier
service provider for delivery and compile document for payment.
7. Record incoming mails, invoices and faxes and distribute them as necessary.
8. Assist the Jakarta team in preparing logistics for meetings, events etc.
9. 9.Updated telephone extension and contact list.
10. Prepare logistics/asset related documents, forms, etc.
11. Assist in office billing payments.
12. Assist in office maintenance.
13. Filling all operational and administration documents.
· Occasional Significant Duties
1. Day to day assistance of other jobs in the Administration Department, as and when required.
2. Perform other duties or project, as assigned by supervisor.
Requirements:
Education: Diploma in relevant fields. Other professional qualification is an advantage.
Skill and Experiences:
1. Minimum 1 years working experience with similar task (reception and/or administrative).
2. Good representative (neat, clean and representable).
3. Good in distribution, record and reporting of taxi vouchers, petty cash, others.
4. Professional manner and polite on greeting guests.
5. Capable handling Letters and packages to be delivered on time.
6. Capable manage incoming letters, faxes and well distribution to the authorized staff.
7. Proven track of managing documents and filling effectively.
8. Proven track billing is prepared on time.
9. Hospitality and punctuality.
10. Multi tasking skills.
11. People and service oriented.
12. Time management.
